Hospitality Front-Office
to Back-Office Integration
This New York-based private hotel group needed to seamlessly
move data between their front-office property management
system and their back-office accounting system in order
to improve cash flow, automate and provide customized
printed invoices, and eliminate duplicate data entry and
subsequent user errors. Tremendous results were realized
immediately.
The front-office system (SMS|Host from Springer-Miller
Systems) uses a FoxPro database, while the accounting
system (ACCPAC Advantage Series) is deployed on the
Pervasive client-server database on a Novell platform.
The customer needed a solution that would automatically
- on a nightly basis - extract data pertaining to guest
direct-bill charges, validate and organize the data
for authorization by a user, and import the data into
ACCPAC G/L and A/R.
Our solution was centered on a middleware application
based on .NET (ASP and VB), SQL Server, and Crystal
Reports. Data is extracted and validated from several
hotels in the US and UK automatically using a combination
of MSDE and SQL Server 2000. G/L data is imported into
ACCPAC automatically each night, while A/R data is collected
and presented to the user for authorization via a browser-based
interface, and imported into ACCPAC on demand. Customers
are provided with customized invoice formats prepared
with Crystal Reports.
Cash flow has been dramatically improved. Invoicing
errors have been greatly reduced. Customer satisfaction
is on the rise. Paper copies of invoices have been eliminated.
